How Amax Digital protects your personal information.

1. Who we are

AMAX DIGITAL, trading as Amax Digital, registration number 2021/365987/07, is responsible for the personal information described in this policy. Amax Digital operates in Pretoria, South Africa and develops Watchman, Citadel and Vision. CitadelOps is the public website for these services.

2. Information we collect

When you complete a LinkedIn Lead Gen Form or a form on this website, we may collect your first and last name, work email address, telephone number, company name, job title, number of Windows endpoints, service interests, enquiry details and any other information you choose to provide.

LinkedIn may pre-fill form fields from your LinkedIn profile and transmit your completed form to us through LinkedIn Campaign Manager. Website enquiries may also retain the page used to submit the enquiry, campaign attribution such as UTM parameters or a Google click identifier, and your recorded privacy choices.

When permitted by your cookie choices, we may collect limited website activity such as pages viewed, device category, approximate location and campaign source. Optional analytics and advertising storage remains denied until the relevant consent is granted.

3. How we use your information

We use personal information for specific and lawful purposes, including to:

• respond to your enquiry;
• arrange or discuss an endpoint security or operational assessment;
• provide information about Watchman, Citadel, Vision and related services;
• communicate with you about a requested trial, pilot, quotation or service;
• manage our prospective or existing business relationship;
• measure campaign and website performance where you have allowed the relevant measurement; and
• protect our services, investigate misuse and meet legal or regulatory obligations.

4. Consent and lawful processing

By submitting a LinkedIn Lead Gen Form or website enquiry, you authorise Amax Digital to use the submitted information to respond and contact you for the purpose described on that form. We process personal information with your consent or on another lawful basis permitted by the Protection of Personal Information Act, 2013 (POPIA).

We will send direct marketing communications only where permitted by law. You may opt out of marketing or withdraw consent at any time by using the unsubscribe method provided or by emailing info@citadelops.co.za. Withdrawal does not affect processing that was lawful before withdrawal.

5. How we share information

Access is limited to authorised Amax Digital employees and contractors who need the information for the purposes described above. We may use service providers that support website hosting, email, customer management, analytics, security, campaign administration and business operations. These providers may process information only for the services they provide to us and subject to appropriate confidentiality and security requirements.

LinkedIn processes and transmits information submitted through its Lead Gen Forms. We may also disclose information when required by law, a court, a regulator or another lawful authority. We do not sell personal information.

6. International processing

LinkedIn and some technology providers may process information outside South Africa. Where personal information is transferred across borders, we take reasonable steps to use providers and safeguards appropriate to the information and applicable law.

7. Retention and deletion

We ordinarily retain lead and enquiry information for five years from collection or the last substantive business interaction, whichever is later. We may keep information longer where required by law, a contractual obligation, a dispute or a legitimate security requirement. When information is no longer required, we delete it securely or anonymise it so that it can no longer identify you.

8. Security

We use reasonable technical and organisational safeguards designed to protect personal information against loss, unauthorised access, misuse, alteration or disclosure. These safeguards include access controls, restricted administrative access, secure communications, monitoring and appropriate service-provider controls. No system can guarantee absolute security, but we review our safeguards as our services and risks change.

9. Your rights

Subject to applicable law, you may:

• ask whether we hold personal information about you;
• request access to that information;
• request correction or deletion of inaccurate, outdated, excessive or unlawfully obtained information;
• object to certain processing;
• withdraw consent where processing is based on consent; and
• ask us to stop direct marketing communications.
